I have created a free trial - how do I log in ?
All ibooka website are initially set up with a default administrative user - simply use the user id=admin and the password=ibooka. However, after you log in we suggest that you change the password (through the change password menu option) to protect form others accessing your system. Alternatively, you can log in as a user. the easiest way to do this is to "register" yourself on your site by using the "register" button on your ibooka site.
I created a free trial but I cannot access it - why not ?
ibooka provides you with your own unique website and just like any other website this means DNS has to be propagate across the world wide web. In most cases this is almost instantaneous, however, the time that it takes depends on your ISP. For this reason it can take 24 or 48 hours for DNS to be fully populated and you may experience some difficulties accessing your web site during this time period. Thereafter you should not have any problems.
Another common problem is that people put "www." at the beginning of their ibooka website name. The format of your ibooka website name is http://<name you choose>.ibooka.com, if you have any problems simply clear out the address line in your browser and type the name in fully, starting from http://

Yes. In the Systems parameters (Admin menu) the time zone is set to whatever you want it to be (i.e. wherever you are in the world) and ibooka then uses this throughout the booking system.
Does ibooka provide me with management reports and historical information to help me run my business ?
Yes. ibooka provides a broad range of reports as standard, covering operational as well as higher management requirements. Additionally, the complete bookings database can be downloaded in standard text format (via the download data option in the administrator menu) for import into your own analysis end reporting tools such as Access, Lotus, Excel or into another application that you may have running in your business.
What Computer equipment do I need for ibooka ?
If you can access the internet then you dont need any additional computer hardware or software to run ibooka !
The only computer hardware you need is one or more PCs or Macs with a web browser and a connection to the Internet. No expensive server hardware or software, complex networks - and best of all, no operating worries as we not only provide the servers that run our software, we also maintain them, apply software patches & upgrades and back up your data - leaving you to get on with your business. ibooka becomes part of your existing web site (if you don't have a web site, ibooka also provides you with a home page and contact us page allowing your ibooka booking site to also be your main web site)

Once you are ready to go live, all you have to do is select the "go-live" option in the administration menu. ibooka will pop up (note: you must have pop-ups allowed for going live) a confirmation window that will ask you if you are sure and if you confirm that the "free trial" banners will disappear from your site and you will be live.

However, if you simply stop using your ibooka system, break the link from your website or remove any "resources" that could be booked then your ibooka system cannot be used and there are no further costs or obligations.

The only possible delay maybe for the DNS of the website to propagate throughout the internet (which is outside of ibooka's control), however, usually our customers have virtually instant access once their sign up is complete.

Yes you can. You can use any pictures, images or graphics that you wish in the ibooka pages that you can upload to your ibooka system via the "update html" function in the administration menu. You can them upload these images through the site appearance facility in the "Appearance" section of the administration menu. You simply "browse" for the image on your local computer and then use the upload button to send it up to your ibooka website.
Yes. In the Template file that you use to set the look and feel of your ibooka site you will find the " %loginform%" place marker, you can move this place marker anywhere in the template to move around where the login form is displayed. However, if you would like to completely different style of login (as can be seen in the massage demo site) then you can replace %loginform% with %loginformw%.
Yes, of course. In the "template" file that you will use for the design of your ibooka system there is a very simply style section that allows you to select the style, colour, size, boldness and type of all the different words and symbols on your ibooka website. For Example, you can change events to have a different background colour, links to be bigger, smaller or to glow, words to be on one colour or another. Of course you can also override these setting through HTML code that you might want to send up to ibooka for any individual ibooka page or email.
Yes. It is easy to customise the buttons on your ibooka site to whatever images you want. The ibooka user manual gives full details, however, the most frequently used buttons use the image:

Yes, it's easy to load an existing member or user database. In the Administration menu there is a section called "Load Membership". The first thing you should do is download a blank file that contains headings for your ibooka membership file, there is a link to do this on the load membership page. Convert your membership file to a TSV (that's a Tab Separated Values) file and align the fields with the headings you have downloaded. Don't worry if you don't have information for all the ibooka headings, just leave any headings that you don't have data for blank. Then use the "send this file" function to upload your database to your ibooka site.
There are several "check box" options that you can select when uploading your database which are self explanatory, such as "overwrite existing data" and "purge before writing", however, the most useful is "send an email to each user giving them their new password", if this box is checked then as each new user record is created an email is also created and send to the user to tell them that they are registered on the system and what their user id and password is.
Yes you can. Simply change the parameter "Allow Registration" in the administration menu in the parameters section from yes to no and your ibooka system will become what we call a closed system. This means that only those users that you have provided a user id and password to can gain access to your system and that new users are not able to register themselves. If you wish to add another user then this must be done by the administrator who will simply complete the user registration on behalf of the new user via the administration menu section "Edit Users".
Yes you can. Simply make sure that the parameter "Allow Registration" in the administration menu in the parameters section is set to yes and a "register" button will appear on the home page of you ibooka website. This allows users to register themselves on your ibooka system and complete a form with all the personal information that you need to hold about them. ibooka will also check that the email address that they are using belongs to a valid email server, thus eliminating random incorrect registrations from hoaxers.

Yes. In the parameters section of the administrator menu on your ibooka website you will find a parameter called "Show Prices", this can be set to yes or no. If it is set to yes then the cost for each resource, as set up by you in the resources definitions, will be displayed with the resource name on the booking page.

In the parameters section of the administrator menu on your ibooka website you will find a parameter called "Charging currency", this can be set to whatever symbol you want from $, £, YEN, etc and thereafter all of the places where a currency symbol is used on your site this symbol will appear.
Yes. In the Parameters section of the administrator menu there is a parameter called "Site Name" and you can set this to whatever you want your site to be called. This name will then appear in the top blue bar of your internet explorer browser and also in any emails that are sent to your customers by ibooka.
Yes. In the Parameters section of the administrator menu there is a parameter called "Daymask" and you can set this through simple Y's and N's to indicate the days you are open and the days you are closed. There are also parameters in the same section called "Start Time" and "End Time" that indicate when you open and close each day.
Yes. In the Parameters section of the administrator menu there is a parameter called "Booking Window" and you can set this to either "0", which indicates that there is no restriction and your customers can book anytime into the future or to any other number which indicates how many days into the future that they can book. Usually we see this parameter set to 14 or 30, however, it is up to you as to how many days you want to allow your customers to be able to book in advance.
Of course some of your customers or users will forget, lose or mislay their passwords. Because all passwords in ibooka are stored with one way encryption you (and nobody else either) is able to simply look up a password and remind the user, therefore, ibooka has an automated system to help.
Your users simply need to type in their email address into the user id field and press the "remind" button. However, as we know that they will forget this as well, if they simply press the "remind" button without entering their email address then fully instructions on what to do are displayed. This will make ibooka generate a new "one way encrypted" password for that user and email it to them. The user can then log on and if they want change their password to something that they might remember.
If you log on to ibooka and then leave your computer unattended it is possible for someone else to come up to the computer and make a booking, cancel a booking or perform another task that you have the authority to perform in your name ! Therefore, ibooka treats every logon as a session and if a session has been idle for a long period of time will terminate the session to protect the user. When this happens the user is logged out and if they try to perform a task on ibooka they will be asked to log back in again first.
Whenever a user logs on they are presented with a menu that has four options, home (which is the home page), Booking (which enables them to make, cancel, view, etc) bookings, Contact Us (which takes them to the contact us page) and Change Password. By selecting Change Password they are requested to enter a new password and confirm this. When they submit the page the new password is encrypted and stored for them to use the next time they log on.
ibooka has what is called "context sensitive help" throughout the system, this means that whatever page you are on you can press the "help" button and a specific help screen for that page is displayed. There is also a link to the user section of the online user guide on each help screen. This should be enough to guide your users around the system. However, for the administrators, ibooka provides a comprehensive user manual. This is available from the ibooka website and also as a link from all help screens when you are logged on as an administrator.

If any of your customers do not have access to the internet or simply feel more comfortable continuing to phone you to make a booking then you can still use ibooka. As the administrator you have the ability to "register" any of your customers and using the ibooka "book for" feature in the administration menu you can make a booking for them. If they have an email address then ibooka can still provide them with a confirmation email but if they don't then simply leave the email address in their user profile blank and ibooka will not send them one.
Don't Panic ! All is not lost and you are definitely not the first person to do this. Unfortunately, when you give the ability to completely change the look and feel of a website you also give the ability for an incorrect file to be sent up that sends the look and feel haywire.
